The HRDC claim process typically takes place in the following sequence.

  • Enquiry & Proposal: Contact us via WhatsApp, Email, or Phone. We provide you with the training outline, trainer profile, and a formal quotation.

  • Registration & HRDC Portal Entry: We register the selected program into the HRD Corp portal. Our team commits to a one-business-day response to ensure your planning stays on track.

  • Grant Application: Your HR/Finance department applies for the grant via the e-TRiS system. We provide all the necessary supporting documents to ensure a smooth approval.

  • Training Delivery: Once the grant is approved, our Subject Matter Experts (SMEs) conduct the high-impact training session (either In-House or at your preferred venue).

  • Claim Submission (SBL-Khas): After the training is completed, we assist in the submission of the JD14 and T3 forms.

    • Note: Under SBL-Khas, the training fee is paid directly by HRDC to us. Your company does not need to pay out of pocket.

To complete your training process with Advance Synergy Consultant and ensure a successful HRD Corp claim, please follow the specific documentation and verification steps outlined below.

Submission of Completed Documents

Upon the completion of your training, clients must submit the finalized HRD forms provided by the consultant.

  • Required Forms: JD14 and T3 (Joint Declaration).

  • Submission Method: Email both completed documents to iedayu.advancesynergy@yahoo.com.

HRD Corp Verification Requirements

To verify that the training was conducted as per the approved application, HRD Corp requires the following evidence:

  1. Direct Interaction: A verification video call.

  2. Visual Evidence: Training photos showing the session being conducted from four angles: front, back, left, and right.

  3. Finalized Paperwork: The fully filled-up JD14 and T3 forms, ensuring attendance matches the original application.

The Approval and Reimbursement Process

The final financial settlement follows a structured approval sequence:

  • Review: Once verification is complete, the claim submission undergoes a formal review.

  • Direct Reimbursement: After approval, the claim amount is reimbursed directly to Advance Synergy Consultant.

  • Tax Deduction: Please note that the final reimbursed amount is subject to a 4% HRD Tax deduction.

Step-by-Step Claiming Process

Our administrative team manages these documents to ensure 100% compliance with HRD Corp audits.

Step 1: Enquiry & Proposal (The Preparation Phase)

Before the grant is applied for, we provide the essential documents to justify the training to your management and HRD Corp.

  • Official Quotation: Detailed breakdown of training costs.

  • Course Outline: A comprehensive syllabus of the 2-day workshop or combined training.

  • Trainer Profile: Detailed CV and HRD Corp Accreditation certificate of the Subject Matter Expert (SME).

Step 2: Grant Application (The e-TRiS Phase)

Your HR department will need these documents to upload into the HRD Corp e-TRiS portal to secure the SBL-Khas approval.

  • Form PSMB/P/01 (Grant Application): Completed via the online portal.

  • Supporting Proposal: The course outline and quotation provided in Step 1.

  • Employer’s MyCoID: To verify company registration.

Step 3: Training Delivery (The Execution Phase)

During the training, specific documents must be generated and signed to prove the session took place.

  • Attendance List (PSMB/T/01): Must be signed by all participants for every day of the training.

  • Digital Photos: Evidence of the training session (e.g., group photos, activities, and trainer in action).

  • HRD Output Assessment: Feedback forms filled out by participants to rate the trainer and course effectiveness.

Step 4: Claim Submission (The Final Phase)

Once training is complete, the following documents are submitted for Advance Synergy Consultant to receive direct payment from the HRD Levy, ensuring zero cash outlay for your company.

  • Claim Form (JD14): The official claim voucher.

  • T3 Form (Joint Declaration): A document signed by both the Employer and the Training Provider (Advance Synergy) certifying that the training was conducted satisfactorily.

  • Final Invoice: Stamped and signed by the training provider.

  • Attendance Summary: Verified copy of the attendance sheets from Step 3.
